Terms and privacy

A plain-language summary of how PhoneFlow works, how billing works, and how call information is handled. A signed service agreement or invoice terms control if they differ from this page.

Service terms

The service

PhoneFlow configures and manages an AI answering and booking service using the customer's approved business information, booking rules, and escalation instructions. PhoneFlow is not an emergency service, dispatcher, or source of technical, safety, legal, medical, or financial advice.

Customer responsibilities

The customer must provide accurate service, pricing, coverage, availability, and escalation information; review test calls; keep instructions current; and maintain a human fallback for situations that require professional judgment or emergency response.

Pilot and approval

The standard pilot is $199 CAD for seven days and includes intake, configuration, test calls, owner approval, and limited live coverage. The seven-day period begins when live coverage is activated. A refund may be requested by email during the pilot and is normally processed within five business days. The pilot does not convert automatically.

Managed plan and usage

The managed plan is $449 CAD per month and includes up to 1,000 inbound minutes. Additional inbound minutes are $0.30 CAD each. Prices are in Canadian dollars. Applicable taxes and any approved third-party or nonstandard fees appear on the invoice.

Invoices and cancellation

Payment is by invoice. The managed plan can be cancelled before the next billing period by emailing PhoneFlow. Service ends at the close of the paid period unless the parties agree otherwise. Any number, forwarding, or integration transition is handled according to the customer's carrier and provider requirements.

Availability and outcomes

PhoneFlow monitors and tunes the service, but does not promise uninterrupted availability, a specific answer speed, a fixed number of bookings, or revenue results. Telephone carriers, internet services, calendars, and other providers can affect performance.

Acceptable use

The service may be used only for lawful business activity. The customer remains responsible for its professional obligations, customer communications, call-recording notices, marketing consent, and compliance with laws that apply to its business.

Privacy

Information processed

Depending on the configured service, PhoneFlow may process caller contact details, call audio, transcripts, appointment details, timestamps, call outcomes, and the business information supplied during setup. The website also collects limited technical and interaction data needed for security and aggregate analytics.

Purpose and consent

Information is used to answer and route calls, create requested appointments, notify the business, investigate service issues, secure the demo, and improve the configured call flow. When calls are recorded, callers should be told that recording is occurring, why it is occurring, and what choices are available where required.

Service providers and location

PhoneFlow uses contracted infrastructure, communications, calendar, and analytics providers to deliver the service. Those providers may process information outside Canada. PhoneFlow does not claim Canadian-only data residency. The integrations used for each customer are confirmed during setup.

Retention and safeguards

Information is kept only as long as reasonably needed for the configured service, support, security, legal, and accounting purposes. Retention can vary by integration and agreement. PhoneFlow uses reasonable administrative and technical safeguards, but no online system can guarantee absolute security.

Access, correction, and concerns

People may ask about the personal information PhoneFlow controls, request correction, withdraw consent where applicable, or raise a privacy concern. Some requests may be limited by legal or service requirements. PhoneFlow will explain any such limit.

Rayhan is the privacy contact for PhoneFlow. Privacy practices and configured call flows are reviewed as the service changes.
